Notes and instructions regarding the Image Occurrence table and its associated Form

Recording Images is one of the main features of the wiki. This refers to a description of the image rather than a copy of the image and therefore needs to cater for a wide variety of possibilities. The initial focus will be images in publications, i.e. image - occurrences. This will probably be the norm for the wiki, with a more formal Image Register perhaps being some way off. This Occurrence register will therefore form the basis from which an actual Image Register will be able to be created later, with some sort of automatic process attempting to identify a repeat occurrence of a specific image or part of an image.

The identifier (or page name) for an image-occurrence is the reference to the publication, its page, and its sequence on the page. This then creates a unique 3 part identifier for each occurrence.

When an Image Table is eventually adopted, most of the details in the Image-occurrence Table will be transferred to the Image Table, and replaced by a key to link the two tables.


OCCURRENCE = [Publication Short Name],Pg [Page Number].[Sequence]

     The Short Name is as defined on the wiki Page for that Publication, for completeness it may need to include an Edition suffix, e.g. All Aboard(2) There are a few special cases that will need to be catered for and these will be added as they are met.
     The Page Number seems pretty straightforward, but for clarity, it seems best to add Pg before the page number with a space between. There are a few special cases that need to be catered for here as well:
         
         Dust Jacket - There are situations where a unique image can appear on a dust jacket, so I have catered for 4 Jacket positions identified as DJ1 - DJ4, being Front, Front Flap, Back Flap and Back respectively. These will only seldom need to be used.
         Introductory pages - These are often identified by roman numerals, so these will be used even if there is a possible page number
         Illustrations on separate un-numbered pages - Particularly in older publications, when the illustrations were printed on more expensive papers, these are best referred to as facing page X, and recorded simply as 'facing 125' for example.
         Cover - Magazines in particular tend to have very informative images on the cover, with the Cover also being page 1. To avoid confusion, page 1 should always be entered as 'Cover' if it is the cover
         The Position on the Page can introduce some unusual combinations, so I have provided for some flexibility:
             Within the occurrence 'name', a sequential number will be used to deal with multiple images on a page. Within the table, there is provision to describe the position on the the page, e.g. Top, centre-left, bottom-right etc.
             If all illustrations are sequentially numbered in the publication, use that numbe as a reference.
             If there is no strict sequence but you could identify rows and columns, even if irregular, use a double identifier e.g. row2/3. 
             With special cases, just describe them, e.g. inset or Background
             If an image takes up the whole page, or there is only one Image on the page, the Position field can be left blank.

IMG_CREATOR = [Initials. Name]

     This is (usually) the name of the photographer. This will often be unknown, in which case it should be left blank as some other occurrence of the image may record a name

IMG_OWNER = [Initials. Name] optional descriptor e.g. [Collection]

     Enter the owner of the image, often supplied in the publication but not always

IMG_HOLDER = [Initials.Name] optional descriptor e.g. [Archive name]

     If part of an archived collection, enter the name of the name of the repository
